Are you getting ready to submit a job application? In many cases, you will need to submit a letter with information on your qualifications and credentials along with your resume and other application materials. 

What to Include in a Job Application Letter

The information that is included in a job application varies depending on what type of position you're applying for. For example, a cover letter written to apply for a job you've found online will be different than a letter written to apply for a vertical promotion or a transfer to a different position within your current company.

Think of a job application letter as a strategic marketing document – a place to build a strong and persuasive case for why you should be interviewed for the position you are seeking. Highlight your relevant skills, experience, and accomplishments in the letter, but make sure not to duplicate all of the information available within your resume. The role of a good cover letter is to entice a hiring manager to read your complete resume in order to learn more about your qualifications and background.

In general, your letter should include:

  • Your contact information (your name, email address, city and state, phone number, and LinkedIn address). Although it used to be common to provide one’s full physical address on a job application letter, many candidates now omit this because of fears of identify theft. If you are applying for a local job, however, it is good to mention your city and state so that the employer knows they wouldn’t have to pay your relocation costs.
  • A polite greeting / salutation
  • An introductory paragraph stating your interest in the job, and including the job title of the position you're applying for
  • Two or three paragraphs highlighting your qualifications for the position. If you have quantifiable achievements (such as year-over-year sales figures, growth percentages, or improvement statistics), it can be very effective to showcase these in a bulleted section
  • A final paragraph offering to provide more information, reiterating your interest in the job and the company, and thanking the employer for their consideration
  • Closing
  • Signature

It's important to follow the instructions in the job posting to a T. Otherwise, your application materials may not be considered. Before you send your application, make sure that you’ve included all requested information and materials.

How to Send the Letter

How you send your letter will depend on the employer's instructions. You may be asked to upload your job application to an online portal, the employer could ask applicants to email their cover letter and resume, or – less likely – the organization may want a mailed or hand-delivered hard copy of your application materials.
