Chances are if you frequently use email in your online business then you are sending the same or very similar emails over and over again. In some cases you may be sending an intro email, scheduling an appointment or meeting, or answering frequently asked questions over and over again.

This can get very monotonous and kill your productivity.

The good news is that if you are a Gmail user, then you can save a lot of time by using email templates, also known as "canned responses" in Gmail to save a lot of time and avoid the monotony of typing out the same email messages over and over.

Rather than having to type out each new email from scratch when creating new emails or responding to emails; with Gmail canned responses you can save the emails you write. In the future, when you need to send an email or respond to a question, you simply load the email template / canned response you created and saved and make any specific tweaks if necessary (like adding the recipients name or modifying the answer slightly).

This can save you a lot of type rather than having to type every email or response from scratch.

Many people already use a similar method, by copying and pasting an email template from a document or text file; but aren't aware that this type of functionality is built directly into Gmail.

Here are the steps you can take to implement Gmail Canned Responses into your email workflow.

Adding Gmail Canned Responses to Your Gmail Account

Step-by-Step Instructions

  1. Login to your Gmail account.
  2. Click on the settings link in the upper right-hand corner (represented by an icon that looks like a gear).
  3. Click on Settings
  4. Click the Labs tab from the top level navigation.
  1. Look for the feature called Canned Responses (you can also search for "Canned Responses" in the search bar).
  2. Select Enable next to the Canned Responses feature.
  3. Click Save Changes at the bottom of the page.
  4. You will now see a "canned responses" feature whenever you're composing an email.
  5. To create a new canned response, compose your email then using the arrow dropdown; select New Canned Response and name your new canned response
  6. To use a canned response, open up a new email and select the canned response you want to use from the drop down menu; you can then edit the canned response as necessary
